The terms and conditions govern the contractual relationship between Greenland Travel (hereinafter the tour organiser) and travellers (hereinafter the traveller) who purchase a package holiday. Travel terms and conditions for travel with Greenland Travel
April 2026
1. Conclusion of the agreement
1.1 Conclusion
An agreement on the purchase of a package holiday between the traveller and the tour organiser is concluded and binding on both parties when the offer is accepted by the traveller. It is a precondition that the travel services which together will constitute a package holiday are purchased at the same time.
The offer is accepted by the traveller when the traveller makes payment on the tour organiser’s website. Before this, the traveller has, by ticking a “tick” box, received and accepted these general terms and conditions.
For tailor-made package holidays, the tour organiser sends the traveller a written offer together with these general terms and conditions. The traveller accepts the offer in writing before the deadline stated in the offer. If the traveller does not accept the offer before this deadline, the tour organiser is no longer bound by the offer.
The tour organiser may, by clearly notifying the traveller, determine that the agreement is only deemed to be concluded upon the traveller’s timely payment of the price of the trip or a deposit, as stated in the agreement. The traveller has received these general terms and conditions before this time.
1.2 Travel documents
After the conclusion of the agreement, the tour organiser sends the travel documents (for example a travel voucher, an order confirmation, an invoice and/or an itinerary) to the traveller without undue delay.
Travel documents and other correspondence between the traveller and the tour organiser, including but not limited to changes to the package holiday, are sent to the postal address, email address or other form of contact that the traveller used in connection with the conclusion of the agreement.
The traveller is also obliged to provide the contact details necessary for the tour organiser to be able to contact the traveller both before and during the trip.
If the traveller does not receive the travel documents within 72 hours, the traveller must contact the tour organiser immediately. If the traveller has provided an email address, the traveller must first check the spam filter.
On receipt, the traveller is obliged to review the travel documents sent and the “practical information” (see section 4.3) and to respond to the tour organiser immediately if the information does not correspond to what was agreed.
2. Price and payment
2.1. Price
The price of the trip is a so-called “total price”, which means that it includes all mandatory taxes and duties as well as all additional fees, costs and any supplements related to the services the traveller has purchased from the tour organiser.
At the destinations, local fees, admission charges and duties may be charged which cannot be collected when the agreement is concluded, as these payments relate directly to local rules or to the use of extra services beyond what is stated in the agreement.
The total price of the trip is shown on the traveller’s invoice. If changes occur in the specific trip or in its preconditions due to circumstances relating to the traveller, this may result in the price being changed, and additional payment may be charged.
Greenland Travel does not charge credit card fees for payment with private credit cards issued within the EU.
When you as a customer pay with a corporate credit card or a card issued outside the EU, Greenland Travel charges the fee that we ourselves pay when the payment is processed.
2.2. Payment
If the traveller defaults on their part of the agreement as regards payment, the tour organiser is entitled to cancel the agreement. In such cases, the tour organiser is entitled to payment of the amount that the traveller would lose under the rules in section 6.2 if the traveller had cancelled the trip on the day of the missed payment.
3. Cancellation and travel insurance
Before the conclusion of the agreement, the tour organiser provides the traveller with information on the possibility of taking out insurance covering the traveller’s costs on termination of the agreement (cancellation insurance) or the costs of transport home etc. in the event of accident, illness or death (travel insurance), as well as the terms of these insurances.
The tour organiser receives commission on the sale of insurance. The traveller can find out the amount of the commission by contacting the tour organiser.
If the traveller wishes to take out cancellation insurance or travel insurance through the tour organiser, the traveller must inform the tour organiser of this before the agreement is finally concluded.
Illness cancellation insurance with Greenland Travel
We recommend that you take out illness cancellation insurance when you book your trip. This must be taken out in connection with the booking of the trip and must be paid together with the deposit.
If you purchased illness cancellation insurance when booking the trip, this means that until departure you can cancel the trip due to illness and have the amount paid refunded without any deductions other than the premium for the illness cancellation insurance itself.
If the cancellation only takes place after departure, the illness cancellation insurance does not provide cover.
Illness cancellation insurance costs 6% of the price of the trip.
Please note that cancellation insurance may already be included in annual travel insurance policies, credit cards etc., and we encourage you to check this before taking out illness cancellation insurance.
For you to have the amount paid refunded, you must be able to document with a medical certificate that you yourself or your spouse/partner, your children, children-in-law, grandchildren, siblings, parents, grandparents and parents-in-law, your brother-in-law/sister-in-law or your travel companions are affected by acute illness, accident or death which makes it impossible or considerably more difficult for you to take part in the trip.
Acute illness entitling cover means a newly arisen illness, a well-founded suspicion of a newly arisen serious illness, or an unexpected worsening of an existing or chronic illness. The medical certificate must be received by Greenland Travel no later than 1 month after cancellation.
At Greenland Travel, we offer travel insurance from Europæiske ERV with supplementary insurance for accident, baggage cover, replacement trip and delayed arrival.
4. The traveller’s general obligations
4.1. Passport, visa and health formalities (including vaccinations)
The traveller must hold a valid passport with at least 6 months’ validity at the end of the trip, as well as the documents necessary for the trip, including a visa and proof of required vaccinations. Other rules apply to Nordic travellers – see below.
The tour organiser’s information on passport and visa requirements for the traveller is based on the rules for Danish citizens. If the traveller does not have a Danish passport or has dual citizenship, the traveller must inform the tour organiser of this so that the traveller can receive the correct advice and guidance, including referral to the relevant authorities. In this connection, see among others www.um.dk and www.ssi.dk.
Danish citizens do not require a visa for Greenland, Iceland and the Faroe Islands. Please note that other rules may apply if you are resident in Denmark but are not a Danish citizen.
Please note that Greenland is NOT a member of the Schengen cooperation. This means that a Schengen visa does not give access to Greenland. Persons from countries subject to visa requirements must state, when applying for a Danish visa, that the visa must also be valid for Greenland.
EU citizens’ national ID cards cannot be used as identity documents when entering Greenland. They must bring a passport.
Nordic citizens do not need to bring a passport. Instead, they can bring photo ID in accordance with aviation security rules.
If you come from a country where a visa is required to enter Denmark, a visa is also required to travel to Greenland. However, a visa valid for Denmark is not automatically valid for Greenland, so a separate visa application must be submitted for Greenland. Visas can be applied for at Danish embassies and agencies. Persons with a residence permit in Denmark do not automatically have the right to travel to and stay in Greenland. A special permit is required for this.
If you travel without a valid visa, you may be refused before boarding.
Greenland Travel does NOT accept any responsibility for the lack of a valid passport, necessary visas or entry permits.
You can find further information on the visa rules from the Greenlandic Department of Foreign Affairs.
See also the website of the Danish Immigration Service, www.nyidanmark.dk , which has more detailed information on countries subject to visa requirements, visa rules etc.
For travel outside Europe, passports must normally be valid for at least 6 months after returning home. For travel to the USA, advance registration must be made at esta.cbp.dhs.gov.
4.2. Persons with reduced mobility
The tour organiser’s offer material will state whether the trip is generally suitable for persons with reduced mobility. Before the conclusion of the agreement, the traveller may also ask the tour organiser to provide precise information on the suitability of the trip in relation to the traveller’s needs. It is a precondition for such a request that the traveller provides the tour organiser with all necessary and relevant information about the traveller’s needs.
4.3. Names on travel documents
The traveller is responsible for ensuring that the names shown on their travel documents and bookings are identical to the full name shown in the traveller’s passport. If the traveller becomes aware of discrepancies between the travel documents and the passport, the traveller must immediately notify the tour organiser, who will try to correct the error. If the discrepancy is due to circumstances relating to the traveller, the costs associated with this will be borne by the traveller. If changes are not possible, the traveller cannot hold the tour organiser liable unless we are required to by mandatory rules of Danish law.
4.4 Timely attendance
Where the traveller cannot arrive in time for the booked travel service, the traveller must contact the supplier concerned and inform them of the later arrival.
If the traveller does not reach a satisfactory solution with the supplier, the traveller must contact the tour organiser. If the traveller fails to contact the supplier and/or the tour organiser, the reservation will be cancelled by the supplier, and the traveller will not be able to use the reservation or have the payment for it refunded.
If flight tickets are part of the package holiday, they must be used in the correct order. If the traveller does not use the flight tickets in the correct order, the airline will cancel the remaining flight segments.
The traveller therefore cannot use only individual segments of a flight. For example, the traveller cannot use only a return flight.
The traveller must have completed any check-in in accordance with the times and places for latest check-in on the outbound and return journeys stated in the itinerary or by other clear instruction. The traveller is responsible for drawing attention to themselves in the check-in queue if the traveller can foresee that they will not be able to complete check-in within the stated times.
The traveller must keep informed of return times by checking, in good time before the return journey, whether changes have been made or announced to the return time stated in the travel documents. Notice of such changes will be given to the traveller individually or by a notice at a pre-arranged place by either the tour organiser, its representatives or the tour organiser’s subcontractors.
The traveller must keep continuously up to date on the departure points and times of the included means of transport. This can be done, for example, by watching the information screens immediately after arrival at an airport and contacting airport staff if in doubt about which terminals or gates the aircraft departs from. Terminal and gate changes happen frequently and are beyond the tour organiser’s control. In such situations, the traveller cannot make claims against the tour organiser unless otherwise provided by mandatory rules of Danish law.
4.5 Rules of conduct
The traveller must comply with the rules of conduct that apply to all subcontractors of the package holiday, such as hotels, airports, means of transport etc.
The traveller must behave in such a way that fellow travellers do not feel disturbed. In serious or repeated cases, inappropriate behaviour may lead to the traveller being expelled from further participation in the trip by the tour organiser or its representatives. In such cases, the traveller is responsible for their own transport home and the resulting costs. In the event of expulsion, the traveller is not entitled to receive any form of refund of the price of the package holiday.
The tour organiser is not responsible for the exercise of public authority, including but not limited to police intervention/action against the traveller in connection with the traveller’s inappropriate behaviour. In such situations, the traveller is personally responsible for any costs incurred, and the traveller cannot make claims against the tour organiser and will not be entitled to a refund of the price of the package holiday either.
4.6 Non-compliance
If the traveller does not comply with the requirements for passports, visas, health formalities, other required documents, stating the correct name on the travel documents and reviewing them, the rules on timely attendance and the rules of conduct, the traveller cannot make claims against the tour organiser, the retailer or the subcontractor of the package holiday for the consequences, defects, inconvenience or losses caused by the failure to comply with the traveller’s general obligations, unless otherwise provided by mandatory rules of Danish law.
5. Changes to the concluded agreement
5.1. Transfer of the package holiday
The traveller may transfer the trip to another person for a fee of DKK 1,500 plus any costs imposed on the tour organiser by the subcontractors of the package holiday as a result of the transfer.
Notice of transfer must be given to the tour organiser on a durable medium no later than 7 days before the start of the trip. Notice after this time means that the traveller loses the right to transfer the package holiday.
Transfer can only take place if the person to whom the package holiday is transferred meets the necessary conditions and requirements for carrying out the trip stated by the tour organiser at the conclusion of the agreement, including passport, visa and health requirements.
The right to transfer the package holiday may be limited in whole or in part by the tour organiser if the transfer is not possible due to the subcontractor’s terms. Limitations on the right of transfer will always be clearly stated in the traveller’s travel documents.
In this connection, the traveller’s attention is drawn to the fact that the vast majority of flight tickets included in package holidays cannot be changed or refunded once booked (“non-refundable” tickets).
The traveller’s travel documents will state if the flight ticket or the other travel services cannot be changed or refunded. If the package holiday contains such travel services, the price of the travel services subject to these restrictions will be lost if a change to the trip is requested after booking.
The transferor of the package holiday and the person to whom the package holiday has been transferred are jointly and severally liable for payment of any outstanding amounts and costs resulting from the transfer.
5.2. Price changes
After the conclusion of the agreement, the tour organiser may make changes to the agreed price of the package holiday if there are changes in:
- the price of passenger transport as a result of the cost of fuel or other energy sources,
- taxes, duties or fees for the travel services of the package holiday imposed by a third party not directly involved in the provision of the package holiday,
- exchange rates relevant to the package holiday.
These changes are calculated according to the calculation examples below:
If part of the price of the package holiday is settled in a currency other than DKK, this amount or its share of the total price will be shown on the invoice. Foreign currencies used to calculate the price of the package holiday will be shown on the invoice, stating the currency designation, its exchange rate and the date* of the fixed rate.
In the event of changes to the price of the trip, the tour organiser notifies the traveller of price increases and price reductions. The notification must be given on a durable medium and no later than 20 days before departure. The price may be increased by a maximum of 8% of the price of the package holiday. If the increase is more than 8% of the price of the package holiday, the traveller will be entitled to terminate the agreement.
In the event of a fall in price as a result of changes in the above circumstances, the traveller is entitled to a price reduction corresponding to the fall in price resulting from the changes. In this connection, the tour organiser is entitled to deduct costs associated with the refund to the traveller.
5.3. The traveller’s changes to the package holiday
If the traveller wishes to make changes to the package holiday, the traveller must contact the tour organiser as soon as possible. If it is possible for the tour organiser to change the package holiday, the traveller must bear the additional costs resulting from the changes. The tour organiser is not obliged to make changes to the package holiday.
If the traveller wishes to make changes which the travel agency cannot fulfil within the existing agreement, the change will, if the traveller maintains the wish to have the package holiday changed, be regarded as a cancellation of the package holiday, cf. section 6.2, and a new booking.
5.4. The tour organiser’s changes to the package holiday before the start of the package holiday
5.4.1. Insignificant changes
Before the start of the package holiday, the tour organiser is entitled, without liability, to make insignificant changes to the package holiday without the traveller’s consent. The traveller is obliged to accept such changes if the tour organiser, before the start of the package holiday and without undue delay, informs the traveller of the changes in question in a clear and comprehensible manner.
5.4.2. Other changes
If, before the start of the package holiday, the tour organiser either:
- makes significant changes to the package holiday,
- or cannot provide specific services which the traveller has requested and which the tour organiser has agreed to provide,
- or increases the price of the trip by more than 8%, the traveller has the following rights:
- the traveller can terminate the agreement and have the amounts paid for the trip refunded,
- or, if the tour organiser offers it, the traveller can take part in a substitute trip
The tour organiser is obliged, without undue delay, to contact the traveller and inform them of the significant changes and of any effect they may have on the price of the package holiday.
In its communication, the tour organiser sets a reasonable deadline by which the traveller must communicate their decision, and also states that the consequence of not meeting this deadline is that the traveller is deemed to have accepted the changes covered by 5.4.2.
In certain situations, the traveller may be entitled to compensation if a financial loss has been suffered as a result of the above significant changes, unless the cause is due to unavoidable and extraordinary circumstances.
6. Termination of the agreement
6.1. Right of withdrawal
There is no right of withdrawal for the purchase of package holidays, cf. section 18(2)(1) and section 7(2)(5) of the Danish Consumer Contracts Act, which exempt passenger transport from the scope of the Consumer Contracts Act.
6.2. Cancellation of the package holiday
6.2.2. Normal cancellation terms
The traveller may cancel the package holiday before the start of the package holiday under the standardised cancellation terms below, unless the tour organiser has stated in writing before the conclusion of the agreement that cancellation will be based on an individual calculation of the cancellation fee, corresponding to the price of the package holiday less saved costs and any income from the sale of the cancelled travel services.
Unless otherwise stated on the invoice, the following applies:
- In the event of cancellation no later than 65 days before the day of departure, Greenland Travel will refund the amount already paid, less a fee corresponding to the deposit paid plus any cancellation insurance, travel insurance and other fees.
- In the event of cancellation from 0–64 days before the day of departure, Greenland Travel is entitled to charge the full price of the trip as a cancellation fee.
If the whole package holiday or parts of its travel services are subject to stricter cancellation conditions than those mentioned above, these will apply and will be stated on the invoice.
*On request, the traveller can be given a justification for the amount of the cancellation fee.
6.2.2. Cancellation in the event of acts of war etc.
The traveller may cancel a package holiday without paying a fee before the start of the package holiday if unavoidable and extraordinary circumstances occur at the destination or in its immediate vicinity which significantly affect the performance of the package holiday or the carriage of passengers to the destination.
For the traveller to be able to cancel without paying a fee, the unavoidable and extraordinary circumstances in question must, on an objective assessment, make it impossible to travel safely to the destination, e.g. on the basis of guidance or statements from the Danish Ministry of Foreign Affairs, the health authorities etc. See www.um.dk and www.ssi.dk.
In the event of fee-free cancellation, the traveller is entitled to a full refund of the price of the trip, but is not entitled to further compensation from the tour organiser.
However, the right to fee-free cancellation does not apply if the customer knew or ought to have known of the event in question when the agreement was concluded, or if the event was otherwise generally known.
If the traveller cannot cancel free of charge under the above, the general cancellation rules apply, cf. section 6.2.
For round trips, the traveller is only entitled to cancel the part of the package holiday that takes place in the area advised against. However, if this part of the package holiday constitutes a significant part of the package holiday, the traveller is entitled to cancel the trip entirely.
6.2.3. Time of refund and calculation of cancellation fee
Refunds of amounts under points 6.2.1 and 6.2.2 must be made no later than 14 days after the traveller’s cancellation of the package holiday, which is why the fee for individual cancellation is likewise calculated no later than this time, in relation to the possibility of reselling the cancelled travel services.
6.3. Termination by the tour organiser
6.3.2. Termination due to insufficient participation
If the performance of the trip is conditional on a certain minimum number of participants, this will be stated in the tour organiser’s offer material or elsewhere in the contractual basis. It will also state the minimum number of participants or the minimum occupancy rate required before the trip goes ahead, and the latest time by which this number must be reached before the start of the trip.
If the required number of participants is not reached by the stated time, the tour organiser may terminate the package holiday agreement without liability. The tour organiser notifies the traveller of the termination of the agreement before the deadline stated in the agreement, but no later than
- 20 days before the start of the package holiday if the trip lasts more than six days,
- 7 days before the start of the package holiday if the trip lasts between two and six days, or
- 48 hours before the start of the package holiday if the trip lasts less than two days.
6.3.3. Termination due to unavoidable and extraordinary circumstances
The tour organiser may also terminate the package holiday agreement without liability if the tour organiser is prevented from performing the agreement due to unavoidable and extraordinary circumstances and the tour organiser notifies the traveller of the termination of the agreement without undue delay and before the start of the package holiday.
In the above termination situations, the traveller will have the amounts paid for the trip refunded no later than 14 days after the termination, and the traveller will not be entitled to compensation unless otherwise provided by mandatory rules of Danish law.
7. Defects and complaints
If a defect is found after the start of the trip – en route or at the destination – the traveller must complain about the defect immediately after discovering it to the tour organiser, its representative at the destination or the subcontractor to whom the defect relates.
If the tour organiser’s representative or subcontractor cannot or will not remedy the defect, or in the traveller’s opinion does not remedy it satisfactorily, the traveller must complain directly to the organiser.
The traveller must ensure that the complaint is recorded by the tour organiser’s staff and/or subcontractors on site – e.g. through a note in a hotel book or in another written form. In addition, the traveller should make sure to be given a receipt for the complaint.
If the traveller fails to complain as described above, this will have consequences for the traveller’s right to invoke the defect subsequently and for obtaining compensation.
8. Limitations of the tour organiser’s liability
The airlines have direct responsibility for the correct performance of the transport under the Warsaw and Montreal Conventions, EU Regulations 889/2002 and 261/2004 and the Danish Air Navigation Act.
The tour organiser limits its liability to the limits applicable at any time under the Warsaw and Montreal Conventions (carriage by air), the Athens Convention and EU Regulation 392/2009 (carriage by sea) and the COTIF Convention and EU Regulation 1371/2007 (carriage by rail). The tour organiser’s liability can therefore not exceed the amount applicable to the carriers that have direct responsibility for the carriage.
The current SDR rate (XDR) can be found at www.nationalbanken.dk
The limits on maximum compensation under the Warsaw and Montreal Conventions are set at:
- In the event of death or injury of passengers: 128,821 SDR – if the airline can prove that it has not acted negligently or incorrectly, or if the incident is due to the negligent or incorrect conduct of a third party
- For damage caused by delay in the carriage of persons: 5,346 SDR
- For destruction, loss, damage or delay of baggage: 1,288 SDR
The limits on maximum compensation under the Athens Convention and EU Regulation 392/2009 are set at:
- In the event of death or injury of passengers: 250,000 SDR to 400,000 SDR – depending on the cause of the injury and the fault shown by the carrier
- For destruction, loss or damage of hand baggage: 2,250 SDR
- For destruction, loss or damage of vehicles, including baggage in or on the vehicle: 12,700 SDR – the carrier is only liable for damage caused by its own fault
- For destruction, loss or damage of baggage other than hand baggage and vehicles: 3,375 SDR. So-called “valuables” are not compensated under these sets of rules.
The limits on maximum compensation under the COTIF Convention and EU Regulation 1371/2007 are set at:
- In the event of death and injury of passengers: 175,000 SDR
- For loss of or damage to articles: 1,400 SDR
- For total or partial loss of a vehicle: 8,000 SDR
- For damage to articles left in the vehicle: 1,400 SDR – the carrier is only liable for damage caused by its own fault
9. Making claims after the end of the trip
Claims for compensation and/or a proportionate reduction in the price of the trip – as a result of defects that have been correctly complained about and that have not been remedied by the tour organiser – must be made to the tour organiser within a reasonable time after the end of the trip. Otherwise, the traveller loses the right to make claims against the tour organiser.
The traveller can complain to Greenland Travel by email: team@greenland-travel.dk
10. Right of set-off when paying damages and/or compensation
When sending their complaint to the tour organiser, the traveller must state whether the traveller has also claimed damages or compensation from the carrier on the basis of EU regulations on passenger rights and liability in passenger transport and under the international conventions that also regulate this matter.
If the traveller has received damages and/or compensation from the carrier, the tour organiser is entitled to set off the damages and/or compensation under the Act on package travel and linked travel arrangements against the damages and/or compensation that the traveller has received from the carrier.
11. Jurisdiction and choice of law
If agreement on a claim for damages and/or its amount etc. cannot be reached through a complaint to the tour organiser or the retailer, the traveller may bring the complaint before the Danish Package Travel Complaints Board (Pakkerejse-Ankenævnet), Haldor Topsøes Allé 1, st., Bygning 91, 2800 Kgs. Lyngby.
The Package Travel Complaints Board’s website is www.pakkerejseankenaevnet.dk.
Complaints to the Package Travel Complaints Board can also be submitted via the European Online Dispute Resolution platform at ec.europa.eu/consumers/odr/. The tour organiser’s email address for this purpose is: team@greenland-travel.dk As a member of the Danish Travel Agents Association (Danmarks Rejsebureau Forening), the tour organiser is obliged to comply with rulings of the Package Travel Complaints Board, unless the association’s board grants an exemption from this requirement because the ruling is to be brought before a Danish court, cf. the association’s articles of association.
As a member of the Danish Travel Agents Association, the tour organiser is obliged to comply with rulings of the Package Travel Complaints Board, unless the association’s board grants an exemption from this requirement because the ruling is to be brought before a Danish court, cf. the association’s articles of association.
All disputes and disagreements that may arise from or result from the formation and/or performance of a given agreement, and which cannot be resolved between the parties alone or by the Package Travel Complaints Board, must, if the parties wish to bring the case, be brought before the Danish national courts for final decision and will be subject to Danish law, unless otherwise provided by Regulation (EU) No 1215/2012 and the Rome Convention of 1980.
12. Guarantee with the Travel Guarantee Fund
In the event of its bankruptcy, the tour organiser has provided a guarantee for the refund of the traveller’s payments with:
