Booking and payment
Booking procedure: Bookings can be made by fax or e-mail to Greenland Travel in Copenhagen. A booking should include:
· Tour number · Departure dates from Copenhagen · Number of participants, · Full names with spelling as in their passports · Special requests (i.e.: transit nights in Copenhagen) · Your agency’s mailing address/phone/fax/ e-mail · Name of travel consultant responsible of the booking
Our office will confirm your reservation as quickly as possible. The confirmation / invoice includes relevant information in accordance with the booking received; the tour price; supplements and special requests plus the latest update on departure time and itinerary. If this is not in accordance with your wishes, you must contact us immediately.
Final payment is due no later than 7 weeks before departure. Greenland Travel reserves the right to cancel booking if deposit and payment are not received by Greenland Travel in due time.
After final payment Greenland Travel still reserves the right to change the agreed price, due to changes in e.g. transportation costs – fuel price increase, local taxes and fees – airport fee, landing fee, or starting fee, currency exchange rates, or other circumstances which the organizer cannot foresee and calculate with in advance.
Cancellation, alterations and transferral of tour If a participant cancels, alters or transfers their tour to someone else, the following fees are charged:
•Earlier than 6 weeks before departure: DKK 1,000. •Between 6 weeks and 14 days before departure: 50% of tour price. •Later than 14 days before departure: Participant is not entitled to compensation.
Any changes or transferral of tour is regarded as a cancellation and a new booking of the tour. It is prerequisite that any transfer of tour can only be made to a person who complies with the conditions set for the tour.
Cancellation of tour In case of insufficient signing up for a tour, Greenland Travel maintains the right to cancel the tour at the latest 20 days before departure. Under these circumstances an alternative tour will be offered. If this is not possible the booking is cancelled and the tour is refunded. Besides this there can be made no further compensation claims.
Flight times in itinerary and on tickets The times listed in the itinerary and on the tickets are all specified according to local time. Time changes may occur after the tickets and itinerary have been issued, and therefore you must always confirm the departure times in the forwarded documents.
Delays We emphasize that the arctic weather conditions may lead to changes, such as delays or rerouting, in the itinerary of a tour - including flights to/from and within Greenland.
Also excursions and optional tours are operated on a weather dependent basis.
Greenland Travel maintains the right to change a scheduled hotel, youth hostel, or any other accommodation to an accommodation of same or higher standard. Accommodation changes that lie within the travel dates are included in the price, whereas expenses due to prolonging of the tour are generally accredited the participant. Greenland Travel is not accountable for any additional expenses incurred due to change in travel plans, lost work profits, etc.
Liabilities Greenland Travel’s liability is limited to the amounts which our subcontractors can limit their compensation to in accordance with international conventions, e.g. Warszawa-convention concerning air travel and the maritime legislation concerning sea traffic.
As a member of the Danish Travel Agency Association, Greenland Travel has joined their arrangement with “Europæiske Forsikring” (European Insurance) concerning extended liability insurance (member A0053b).
Claims Please inform the tour leader/guide of any complaints, so he or she may attempt to solve the problem. Complaints after return must be communicated to a Greenland Travel agency as quickly as possible and at the latest 4 weeks after return home.
Further conditions The tours are operated according to the conditions for package tours set by the Danish Travel Agency Association and the Consumer’s Board These are available upon request.
Any claim against Greenland Travel must be settled by Danish law. Complaints or lawsuits that cannot be settled by the Travel Appeal board must be determined in the Danish Maritime and Commercial court. | |
